Collecting belongings from University owned accommodation

Please read this notice in full as it contains important information on collecting your belongings from University owned accommodation. 

Following the recent lifting of some restrictions by the Welsh Government, we are now beginning the process of allowing students to vacate University owned accommodation. 

It is important that these guidelines are followed closely. No student or third-party will be granted access to the University facilities without the necessary booking confirmation. 

This notice has two main parts:

  • How to arrange to collect your belongings

  • important guidance whilst on campus

How to arrange to collect your belongings
We have prioritised the health and wellbeing of our students and staff throughout the pandemic and moving students and parents around campuses requires careful management in order to maintain social distancing. Staff will be on hand and signage will direct you throughout your time on campus. Please familiarise yourself with the measures in place.

While we appreciate that returning to campus might be difficult for some students, we have ensured that there are a number of options available to you:

Return to campus and collect your room belongings yourself 
In order to manage the number of people on campus at any given time, the University is operating a booking system for anyone who wishes to return to University owned accommodation to collect their belongings.

You must book. Access to the campus and your room will not be granted to you or any third-party without a booking confirmation. 

Booking a time 
You will be sent an e-mail inviting you to book a time slot to come to campus to collect your belongings. Please make sure to check your spam folder and if you have not received this booking e-mail within 1 hour pLease contact your Halls Manager.

When booking, please make a note of the time and day selected. If you wish to change the booking, please contact the relevant Halls Manager for assistance see contact information at the end of this e-mail.

Arrange for your belongings to be collected by a third party
Whilst we are unable to recommend a specific provider, we have identified a couple of suppliers that will pack and transport or store your items domestically and internationally. Please note that you will be responsible for booking any third-party removal service, along with all the associated costs. The University cannot be held responsible for any loss or damage to property during transit or any delay to delivery.

You may of course source another removal company or ask a family member or friend to provide this service on your behalf. Please let us know who it will be and that you give consent for that person to collect your belongings. The person will need to bring ID. Regardless of who will be collecting your belongings you must book a time slot using the booking system.

Suggested providers

  • LOVESPACE can pack your belongings and deliver safely to your chosen address. You will need to confirm your requirements with LOVESPACE before booking a time for them to visit any University owned accommodation. 

  • AnyVan can deliver pre-packed items to your chosen address. You will need to confirm your requirements with AnyVan before booking a time for them to visit any University owned accommodation.

If a third-party person or removals company will be collecting your belongings on your behalf, please ask them to report to the halls reception. A member of staff will check their ID and show them to your room. If possible, please note the name of the person or company who’ll be collecting your belongings when booking. 

You should return your room key, via recorded post as soon as possible if you’ll not be attending campus. Please do not send your key to a third-party company. 

Choose not to collect your belongings 
The University can arrange for the gifting or disposal of your belongings should you wish. This would typically be to either a charity or recycling service or donated to new and returning students.

If you wish to take up this option, please contact the relevant Halls Manager - see contact information at the end of this notice.

Important guidance whilst on campus
There is a limit to the number of people we can allow within each building per day under social distancing rules, therefore it is important that you do not return to campus other than on your pre-booked time (see above). Please do not travel if you have not booked a time, as we will be unable to guarantee access to the campus.

Whilst you are on campus you will be required to pay attention and adhere to the following guidance:

Social distancing
You may be accompanied by one other person whilst on campus; however, if you, any member of your household or the person with you, is displaying symptoms of Covid-19 we would ask that you do not travel to campus and that you stick to the current self-isolation advice from Government. 

Unfortunately, we cannot allow children or pets on campus during this period

Time slot
Each collection slot is for 2 hours. This is the maximum time you will be able to remain on campus. Please arrive no more than 10 minutes before the start of your booking. Please phone ahead if you think you will be delayed and not able to meet your appointment time (contact numbers at end).

Please note, if you are late and have not provided advance warning, you may be asked to wait until the end of that day to access your room. 

While on campus

  • You will not be able to wait for friends to arrive.

  • You will not be permitted to stay in your room or on campus overnight.

  • Please bring your own Personal Protective Equipment (PPE). Hand sanitiser will be available in key areas on campus.

  • Please bring your room key and return it to staff as directed when you leave. Envelopes will be provided. 

  • Please remember to bring plenty of boxes and packing material as we are not able to provide any.

  • Please ensure you have sufficient food and drink for your journey as we are unable to provide any catering facilities during this time. You may use the ensuite facilities in the bedrooms should you require the use of a toilet whilst on campus. 

  • Parking is free. You do not need to pay and display. Buses and other means of public transport are not stopping on campus during this time.

  • Please remember to take your bicycle with you; we are unable to store it for you over the summer.

  • Remember to bring any Library books (and/or equipment loans) you have with you. The halls team will accept them on behalf of the Library.

  • Note there are students who are still living on campus throughout the pandemic so please ensure you maintain social distance at all times whilst on campus.
