Providing Proof of Your Qualifications

All applicants applying to study at Cardiff Metropolitan University must be able to provide proof of all qualifications listed on their application form, in order to demonstrate that they have fully met the programme entry criteria and can, therefore, be approved for enrolment.​

Cardiff Met has a strict policy of checking all qualifications using, where possible, original documentation, as a means of formally ​verifying any qualifications used as evidence by applicants to satisfy the entry requirements for the programme they've applied for. Applicants must be able to prove that these qualifications exist and provide Admissions with sight of these prior to the programme start date. These include all qualifications listed, including Level 2 qualifications, such as GCSEs, as well as A-Level, BTEC etc.  Therefore, if you have applied to study any programme at Cardiff Met and hold a Conditional Offer, please familiarise yourself with the contents below, as providing proof of your qualifications will apply to you.   

All Applicants Please Note:

Failure to provide proof of any qualifications listed on your application form by the specific deadlines detailed below will result in you not fully meeting the terms of your academic offer requirements and may prevent you from being issued with your ID Card until all relevant qualifications have been checked and verified. 

Undergraduate Applicants


If you have applied through UCAS for an Undergraduate programme at Cardiff Met and have been made a Conditional Offer, once you have accepted us as Firm or Insurance, you will need to provide evidence of all the qualifications listed on your UCAS form to demonstrate that you meet the academic entry requirements.  Failure to provide us with proof of qualifications may result in your place not being confirmed and could result in you being unable to collect your ID card during your Induction week.

Therefore, it is important that you provide Admissions with sight of all your qualifications by 31st August.  If you have a Unique Learner Number (ULN) we can verify your qualifications through your Personal Learning Record (PLR).  Please inform Admissions of your ULN.

Key things to note: 

  1. The deadline for providing Admissions with evidence of qualifications listed is 31st August, prior to the start of your programme.  Late and Clearing applicants will be assisted by Admissions to submit their qualifications before Induction week.   

  2. Evidence of Level 2 qualifications - GCSEs or equivalent - such as English Language, Maths and/or Science are required for the majority of our undergraduate programmes.  

  3. If you are sitting any of the Level 3 exams (listed below) and are still awaiting your results, UCAS should transmit these directly to us:   

  •  AS/A Levels

  • QCF BTECs

  • Advanced Welsh Baccalaureate Diploma

  • International Baccalaureate

  • OCR Nationals

  • Scottish Advanced Highers

  • Irish Leaving Certificate

  • Art Foundation Diploma

​However, in some cases we do not receive results on time, and you will be contacted to provide evidence.​​

4. If you are invited to attend an Interview, as part of your application process, please bring along your original certificates for verification, along with copies for the university to retain.

If you are in any doubt as to which qualifications we need to see, its best to send them all in, and to bring all your originals to induction.

UCAS Teacher Training Applicants


If you have applied through UCAS Teacher Training for a PGCE programme at Cardiff Met and have been made a Conditional Offer to study with us, once you have accepted us as Firm, you will need to provide evidence of all qualifications listed on your UCAS form to demonstrate that you meet the academic entry requirements. Failure to provide us with proof of qualific​ations may result in your place not being confirmed.

Therefore, it is important that you provide Admissions with sight of all your qualifications by 31st August.
   
Key things to note:

  1. PGCE applicants will be asked to bring original certificates to their PGCE Interview ​for verification, along with copies for the University to retain. 

  2. If you are awaiting the result of your undergraduate degree, as part of your offer condition, please notify and provide us with proof of this as soon as possible. 

  3. If you are awaiting the result of GCSE Maths and/or English Language to satisfy the new 'B' grade requirement, then please notify and provide us with proof of this as soon as possible.​

    Please note, Cardiff Metropolitan will be hosting GCSE equivalency 'test days' by the external company Equivalency Testing ​for Maths and English equivalency exams at our Cyncoed Campus at Cardiff Metropolitan University on:

    31th March 2016
    27th May 2016 
    26th August 2016 

    These will give applicants additional opportunities, on top of any GCSE exams currently being studied for, to attain the required 'B' grades. 

    General information on the nature of a Level 2 'equivalency exam', the syllabus, past papers, costs and when to book, can be found by visiting the Equivalency Testing Website.  However, please note that bookings will not be made available until one month before the test date.  For more specific information and to chat to a representative from Equivalency Testing, please call: (0)1277 203336​​  

    ​​​Cardiff Metropolitan will also accept GCSE equivalency qualifications gained from undertaking equivalency exams held by the University of South Wales. Visit the University of South Wales Website​ for more information.  ​

  4. For any Late and Clearing PGCE applications, applicants will have until the start of the programme in early September to show proof of qualifications.​ 

    Please familiarise yourself with the information below on the qualification documents we will and won't accept, as well as how to send them to Admissions, if you are unable to provide​ them at your PGCE Interview. Please remember, it is your responsibility to provide proof of all qualifications, as part of your Conditional Offer.​​​​

Postgraduate, Part-time and Professional Applicants

If you've applied through Cardiff Met's 'Self-Service' System for a Postgraduate, Part-Time or Professional programme and have been made a Conditional Offer, once you have accepted us as your Firm choice, you will need to provide evidence of all qualifications listed on your application to demonstrate that you meet the academic entry requirements.

You need to provide Admissions with sight of your qualifications four weeks prior to the start of your programme. 

Key things to note:

  • Any specific qualification conditions associated with your offer will have been communicated to you via Cardiff Met's 'Self-Service' system and your offer letter. 

  • If you are invited to attend an Interview please bring original certificates for verification, along with copies for the university to retain.  

  • If you are awaiting the result of your Undergraduate Degree, as part of your offer condition, please notify and provide us with proof as soon as possible, as this may delay confirming your place. If you are a graduate from Cardiff Met we will automatically verify your undergraduate degree result once the result has been issued.  ​

What qualification documents do you accept?


 

Cardiff Metropolitan University will accept the following qualification documents:

 - Certificates - Originals and Copies
We accept original certificates or good quality copies as evidence to support your application.  These can be posted, scanned and emailed, faxed, or shown to staff in the i-zone on our Llandaff Campus. 

  - Statement of Results
If certificates are not available, applicants can send us their Statement of Results or Result Slips, usually provided by schools/colleges/universities on results day, before certificates are issued.  However, please note, these will need to show an original signature and stamp by the awarding school/college/university. 

 - Unique Learner Number (ULN)

If you have been given an ULN by your school or college and have not opted out of sharing your information through your personal Learning Record (PLR) please can you inform us of your ULN by emailing it to newstudent_qualifications@cardiffmet.ac.uk We should then be able to verify your qualifications through your PLR and you wont need to send us any further confirmation of your qualifications.


Cardiff Metropolitan University reserves the right to request original documents if it is felt that copies are not sufficient.

If an ULN, certificate or Statement of Results is not available, Cardiff Metropolitan University will accept

  - Letter from the applicants' School/College/University 
Letters need to be on official headed paper, have an original signature, and posted to Admissions. 

  - Certifying Statement of Results
Applicants can approach Examining Bodies and apply for a Certifying Statement of Results (certificate).  Please note, there will be costs, waiting lists and minimum timeframes associated with this.   

  - Letter of Confirmation
Applicants can approach Examining Bodies and apply for a Letter of Confirmation. Please note, there will be costs, waiting lists and minimum timeframes associated with this.   However, this may be cheaper than requesting new certificates.

  - University Transcripts and Certificates
Applicants are able to request replacement certificates/transcripts from their previous university (there may be costs involved for replacements).

Please note, where documents are not in English, Admissions will require the applicant to provide an official translation into English with both the translation and the document posted to them, as well as supporting comparability. 

What qualification documents don't you accept?

 


Regretfully, Cardiff Metropolitan University is unable to accept

• Confirmation via email from a School or College, apart from in exceptional circumstances. The applicant will need to contact Admissions if he/she has attempted to provide evidence of qualifications via all other avenues. 

• Documents printed off an institutions' website e.g. from University accounts, unless accompanied by an original signature and stamp by the institution. 

• School or College SIMS document, unless accompanied by an original signature and stamp by the School or College. 

• Documents which don't include the applicants' name. 

• Results slips produced by a School or College which list the applicants' qualifications, unless accompanied by an original signature and stamp by the School or College.

Ways to get your qualifications to Admissions:

If you are sending in original documentation, we recommend that you use Recorded Delivery.  We will also return your documentation by Recorded Delivery.

3. i-zone
Drop into our i-zone, based on the Llandaff Campus, and staff will be able to take copies of your certificates.  The i-zone is located at the following address:

4. Bring your qualifications to Interview
Bring your original certificates to be shown at interview, as well as copies to be retained by the university.
 

​What if my name has changed since I received my certificates?


If an applicants' certificates are in a different surname or alternative spelling, further confirmation will be needed e.g. marriage, birth or adoption certificate, affidavit or change of name document i.e. deed poll. If an applicant has no official documentation of their name change, Admissions will accept a photo with verification from a school or college that confirms it is the same person.
