It is recommended that applicants register with the Update Service, so the disclosure remains up to date for the duration of studies and covers placements, if undertaken. Some placement providers may also not accept your current DBS certificate through Cardiff Metropolitan University unless you have signed up to the Update Service.
The Update Service allows individuals to apply to have their criminal record check kept up to date and employers to check that the information is current and valid. This will mean that when a DBS criminal record check is applied for individuals can apply at the same time or up to 19 days after the issue of the DBS certificate.
Due to the DBS Disclosure needing to be as recent as possible, DBS processing is not undertaken until April of the year of entry. For applicants wishing to sign up to the Update Service, it is therefore recommended you do not sign up to the Update Service until their DBS certificate has been received, and do this within 19 days of the issue date on the certificate.
DBS certificates are issued directly to the individual, and not to the Registered Bodies such as Cardiff Met, so unless the DBS certificate is sent to the Admissions Unit, we have no evidence of your clearance, which will result in a delay in your offer being confirmed. Local applicants are encouraged to bring in their DBS certificate to the I-Zone at Cardiff Met (www.cardiffmet.ac.uk/izone) as the institution can not take responsibility for certificates lost in the post. For applicants who are unable to visit Cardiff Met we advise the use of recorded or special delivery if sending in the DBS certificate.
To use the Update Service, Cardiff Met require consent from applicants. The consent option is indicated on the Self Declaration form which is sent out with your offer letter, so please ensure you complete and return this to the Admissions Unit. Failure to consent to the Update Service will result in applicants having to undertake a new criminal records check. In order that Cardiff Met can accept the DBS form through the Update service the DBS needs to be of an Enhanced standard, and contain the relevant checks required for the programme that it being undertaken e.g. children and or vulnerable adults.
